How to prepare a PDF for signatures
A visible signature line is useful for simple approvals, but identity assurance and legal requirements vary by workflow.
Finish the document before requesting a signature
Confirm page order, remove duplicate drafts and check that all referenced attachments are present. A signer should see the exact final content before agreeing. Add page numbers when pages may be printed or separated.
Leave enough space for a signature, printed name and date. If several people sign, label each field clearly so the document does not rely on position alone.
Typed signatures and digital signatures are different
A typed name or drawn mark creates visible evidence of intent in many informal workflows. A cryptographic digital signature also binds certificate information to the document and can reveal later changes. They are not interchangeable.
PDF Creator adds a typed signature or visible request field. It does not verify identity, issue certificates, send email invitations or create an audit trail. Use a regulated e-signature provider when your legal or organizational process requires those features.
Share the final copy carefully
Send the document through the agreed channel and tell the signer what action is expected. After signing, keep one final copy and avoid editing it casually. If confidentiality matters, use an appropriate secure delivery method rather than assuming a signature protects the contents.
Requirements differ by country, contract type and organization. Confirm the applicable policy before relying on an electronic signature for a high-stakes document.
